A client of mine had a first this summer: he went on holiday for 10 days, and his business ran seamlessly without him – a real milestone.

But fast forward a few months, and last week he stepped away for just two days, only to return to chaos – a mountain of emails, missed calls, WhatsApps, and admin that left him feeling overwhelmed.

The reality is that even the best systems can slip without consistent attention.

This client, like so many business owners, found himself buried in the urgent and important tasks of the Eisenhower Matrix – putting out fires instead of focusing on the important but not urgent activities that drive long-term growth.

Are You Stuck in the Operational Grind?

  • Automated using tools or processes.

One example: he’d started setting up automated monthly invoicing for retained clients but had let the habit slide. It’s a small thing, but these lapses compound over time, creating unnecessary work and stress.

Make Time to Reflect and Work On Your Business

It’s vital to schedule regular time to step away from the day-to-day grind and focus on the bigger picture.

Whether it’s an hour each week or a full afternoon at a café (or any environment that takes you away from the day-to-day) , this time will give you the perspective to:

  • Identify tasks that drain your energy and don’t leverage your knowledge and experience.
  • Prioritise the work that truly moves the needle.
  • Revisit and strengthen systems to prevent overwhelm.

Every business is a collection of systems and processes – for winning business, delivering to your promise, collecting and managing the money.

Systems run your business. Your team runs your systems. You lead your team.

If those systems aren’t working, the cracks will show the moment you step away.
