As an SME business owner, no doubt you’ll often find yourself juggling multiple responsibilities and subsequently feeling overwhelmed by the sheer volume of tasks on your plate.

You’ve also probably heard numerous stories over the years around the importance of delegation, but perhaps you struggle with the fear of losing control? Or have doubts about your team’s capabilities?

I think we can probably all admit to ourselves that at some point in our lives we’ve thought something along the lines of ‘by the time I’ve shown them how to do this, I might as well have done it myself!’

We’ve all been there, but your potential problem here is twofold.

In the first instance, you may be perilously close to experiencing burnout, and secondly, your team is most likely not reaching its full potential because they’re not being entrusted with enough significant responsibilities.

This situation ultimately leads to inefficiencies, stifles creativity, and hampers the growth of both the team and the business.

So in this article, I’m going to help you to understand that effective delegation is not just about offloading tasks, but about empowering your team to take ownership, develop their skills, and contribute meaningfully to the success of your business.

Delegation done right can transform your leadership and unlock your team’s potential.

Here’s a seven-step plan to master the art of delegation:

  1. Identify the Right Tasks: Not all tasks should be delegated. Focus on delegating tasks that are time-consuming but not necessarily requiring your expertise, or those that can help your team members grow. Do only the things that you can do. Read more about this in our previous blog.
  2. Choose the Right People: Assign tasks based on your team members’ strengths and interests. This ensures they are more likely to excel and feel motivated.
  3. Define Clear Outcomes: Clearly articulate what success looks like for the task. Provide detailed expectations and desired results to avoid misunderstandings.
  4. Provide Necessary Resources & Training: Ensure your team has the tools, training, information, and authority needed to complete the task. This support builds confidence and reduces the likelihood of errors.
  5. Set Milestones and Deadlines: Break down the task into manageable parts with specific deadlines. Regular check-ins help track progress and address issues early.
  6. Encourage Autonomy: Trust your team to handle the task without micromanaging. Give them the freedom to approach the task in their own way, fostering innovation and accountability.
  7. Offer Feedback and Recognition: Constructive feedback helps team members improve, while recognition of their efforts boosts morale and reinforces positive behaviour.

Take the first step right now by identifying a task you can delegate.

Remember, the goal is not necessarily just to offload work but also to empower your team.

Start small, gradually increasing the complexity and significance of the tasks you delegate as your team’s confidence and competence grow.

As above, it’s vital to keep in mind that without effective delegation, you risk burning out and potentially stalling your business’s growth as a result.

Your team members may feel undervalued which can lead to disengagement and high staff turnover rates. A lack of delegation can also result in missed deadlines, poor quality of work and strained relationships within your team.

By mastering the art of delegation, you’ll not only lighten your own workload – you’ll also be fostering a more dynamic, empowered, and efficient team.

Your business should then thrive as your team individually step up and take more ownership between them.

And a handy by-product of this – you’ll be creating a culture of trust, innovation, and continuous improvement, which in turn should bring sustained growth and achievement.

I’ve managed many teams over the years and have experienced first-hand the feelings and the success that come with being able to delegate tasks efficiently and effectively.

“I can’t begin to express how transformative learning to delegate effectively has been for my business. I was constantly overwhelmed, trying to manage every detail myself. I’d read all about delegation but was still hesitant, fearing loss of control and doubting my team’s abilities.

Working with Sanjiv, I started by identifying the right tasks to delegate and choosing team members based on their strengths. Setting clear outcomes and providing the necessary resources made a huge difference. I was amazed at how much more efficient and motivated my team became when they were given autonomy.

The results speak for themselves. My workload has decreased, allowing me to focus more on the growth areas of my business. My team feels empowered and valued, and their performance has exceeded my expectations year on year.”– Matt from The Bright Click
